This Privacy Policy explains how Baylife Water Filtration Solutions ("we", "us" or "our") collects, uses and protects information when you visit our website at baylifeh2o.com (the "Site"), request a free water test, talk with us, or receive text messages or emails from us.
We are a local water treatment company serving homeowners in Hillsborough, Pinellas, Pasco and Hernando counties, Florida. If you have questions about this policy, contact us at hello@baylifeh2o.com.
Information We Collect
Information you give us. When you fill out a form on the Site, book an appointment, call, text or email us, we collect:
- Your first and last name
- Your mobile phone number and email address
- Your street address and ZIP code
- Your water concerns (for example, spots and scale, taste or smell, dry skin or hair, protecting appliances, or well water issues)
- Your water source (city or county water, private well, or not sure)
- Your appointment preferences and anything else you choose to tell us
Information from your water test and purchase. If you schedule a water test or buy a system, we also keep the test readings for your home (such as hardness), the system we recommend, your quote, your contract, your installation date and equipment, payment status, and your service and filter-change dates.
Consent records. When you check a box agreeing to receive text messages, we record which box you checked, the exact wording you agreed to (and its version), the date and time, your IP address, your browser's user agent, and the web page you were on. We keep these records to show that you agreed and to honor your choices.
Information collected automatically. When you visit the Site, we and our service providers automatically collect some technical information, such as:
- Your IP address, browser and device type, and operating system
- The pages you view, the page that referred you to the Site, and the date and time of your visit
- Campaign information in the web address you arrived from (such as UTM tags and a Facebook click ID)
Information from advertising platforms. If you respond to one of our ads on Facebook or Instagram and fill out a Meta lead form, Meta sends us the information you entered in that form.
Cookies, Pixels and Similar Technologies
We use cookies, pixels and similar technologies to run the Site, remember where you came from, and measure whether our ads work.
- Meta Pixel and Meta Conversions API. We use the Meta Pixel on the Site, and we may also send information to Meta directly from our server through the Meta Conversions API. These tools tell Meta (the company that runs Facebook and Instagram) when you visit a page or submit a form, so we can measure our ads and show them to people who are more likely to be interested. When you submit a form, we may send Meta a scrambled (hashed) version of your email address, name, city, state and ZIP code, along with your IP address, browser information, and the Meta cookie values stored in your browser. Meta uses this information to match the event to a Meta account and to provide measurement and ad delivery services, as described in Meta's own privacy policy. We do not send Meta your phone number or the details of your water concerns.
- Analytics. We may use analytics tools, such as Google Analytics or Vercel Web Analytics, to understand how people use the Site so we can improve it.
- Booking and maps tools. Our appointment calendar is provided by our CRM provider and may set its own cookies when it loads. We may also use Google Maps or similar tools to check whether your address is in our service area.
- Spam protection. We may use bot and spam protection tools that review technical information about your visit.
Your choices about ads and cookies. You can block or delete cookies in your browser settings, though some parts of the Site may not work properly without them. To limit how Meta uses information for ads, visit your Facebook ad preferences at https://www.facebook.com/adpreferences. You can also opt out of interest-based ads from many companies at https://optout.aboutads.info (Digital Advertising Alliance) or https://youradchoices.com. To opt out of Google Analytics, you can use the browser add-on at https://tools.google.com/dlpage/gaoptout.
Some browsers send a "Do Not Track" signal. There is no common standard for responding to these signals, so the Site does not currently respond to them.
How We Use Your Information
We use your information to:
- Respond to your request and schedule, confirm and remind you about your free water test
- Test your water, prepare your quote, and follow up on it
- Arrange and schedule installation, and provide service, filter reminders and warranty support
- Send appointment, quote, installation and service messages by text (if you agreed) and email
- Send marketing messages, such as special offers, only if you gave us separate permission to do so
- Check whether your address is in our service area
- Measure and improve our advertising and the Site
- Keep records of your consent and your opt-out choices
- Prevent spam, fraud and misuse of the Site
- Comply with the law, keep business and tax records, and protect our rights
How We Share Your Information
We share your information only as described below.
Service providers. These companies and people help us run our business and serve you. They get only the information they need to do that work for us, and they are not allowed to use it for their own marketing:
- Our CRM and messaging provider. We use GoHighLevel (LeadConnector) to store customer records, schedule appointments, and send text messages and emails.
- Our email provider. We use Google Workspace for business email, so emails you send us and our replies are stored with Google.
- Our website host. Vercel hosts the Site and processes the technical information needed to deliver it.
- Our installation subcontractor. Installations are performed by an independent, Florida-licensed plumbing contractor. We give them the information they need to do the job, such as your name, address, phone number, installation date and equipment.
- Professional advisers and payment providers. Our accountants, lawyers, insurers and payment processors may receive information when needed to provide their services to us.
Advertising and analytics platforms. Meta receives the information described in "Cookies, Pixels and Similar Technologies" above, and Google and similar analytics providers may receive technical information about your visit. These companies handle that information under their own terms and privacy policies. We do not give them your phone number, and we never share your text message consent with them.
Legal reasons and business changes. We may also disclose information if the law requires it, to respond to valid legal process, to protect the rights, property or safety of our customers, our business or others, or if our business is merged, reorganized or transferred to a new owner (in which case this policy will continue to apply to your information).
Text Messaging (SMS)
If you check a box on our Site or on a Meta lead form agreeing to receive text messages, we will send texts to the mobile number you gave us. There are two separate choices:
- Service texts: messages about your water test appointment, quotes, installation and service.
- Marketing texts: messages such as special offers. We send these only if you checked the separate marketing box.
Checking either box is optional. You can request a water test and buy from us without agreeing to receive texts. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or reply HELP for help. See the SMS Program Terms in our Terms of Service for full details.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Emails
We send emails about your request, appointment, quote and service. If we send marketing emails, each one will include a way to unsubscribe. Even if you unsubscribe from marketing emails, we may still email you about an appointment, quote or purchase you have with us.
How Long We Keep Your Information
We keep your information only as long as we need it for the purposes in this policy:
- Inquiries that don't become customers: generally up to 3 years after our last contact with you, unless you ask us to delete it sooner.
- Customer records (test results, quotes, contracts, installation and service history): for as long as you are a customer and for as long as your equipment warranty lasts, plus the time we need to meet tax, accounting and legal requirements.
- Consent and opt-out records: for at least 5 years after our last text message to you, so that we can prove your choices and honor your opt-out.
When we no longer need information, we delete it or make it anonymous.
How We Protect Your Information
We use reasonable administrative, technical and physical safeguards to protect your information. The Site uses encryption (HTTPS). Access to customer records is limited to people who need it to serve you, and our service providers are expected to protect the information they handle for us. No method of sending or storing information is completely secure, so we can't guarantee absolute security. If a data breach affects your personal information, we will notify you as required by Florida law.
Children's Privacy
The Site and our services are meant for adults who own or live in a home. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact us at hello@baylifeh2o.com and we will delete it.
Your Choices and Rights
No matter where you live, you can:
- Stop text messages at any time by replying STOP. You can also tell us by phone or email, and we will honor your request within a reasonable time and no later than the law requires.
- Unsubscribe from marketing emails by using the link in any marketing email.
- Ask to see, correct or delete the personal information we have about you by contacting us at hello@baylifeh2o.com. We may need to verify your identity before acting on your request. We may keep some information when the law requires it or when we need it to complete a job, honor a warranty, or keep a record of your opt-out.
- Limit ad tracking using the choices described in "Cookies, Pixels and Similar Technologies."
Florida residents. We handle your information in line with Florida law, including the Florida Information Protection Act, which requires businesses to take reasonable measures to protect personal information and to give notice of certain data breaches. Our text messaging practices follow the Florida Telephone Solicitation Act.
Residents of other states. We serve homes in the Tampa Bay area of Florida. If you live in another state that gives you additional privacy rights, contact us and we will respond as that law requires.
Links to Other Websites
The Site may link to other websites, such as utility water quality reports or review sites. We are not responsible for the privacy practices of those websites. Please read their privacy policies.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date at the top of this page. If we make a significant change to how we use your information, we will give you notice on the Site or by other means before the change takes effect.
